If you’re a system admin who’s looking for a quick refresher on how to create and upkeep a data keyword set in OnBase, you’re in the right place. Check out the demo video and blog below to learn how.
How to Create and Edit a Data Set in OnBaseHow to Edit a Data Set in OnBase
1. In our video demo, we started with a HR time off quest unity form. As we went and filled it out, we noticed that the manager data set needed a little bit of updating.
2. So, we navigated away from the unity client and opened up OnBase configuration.
3. We then navigated over to the keyword tab and selected “keyword types” and went on a hunt for our manager keyword.
4. From there, we were able to select the “data set” button and were given the list of the values within the data set. In the video, for our example case, we decided that “Victor Price” was no longer with our fictional company, so we wanted to remove him from this list, and were able to easily select this delete button once, highlighting the name, and it asked “are you sure?” and we said yes.
5. We then decided to add a new name to the list of an employee who had joined the company and was a manager, “Michael” so we typed his name in and selected “create” and then we closed it to update it.
So that’s how you would update an already existing data set. But how would you create a brand new one? Here’s how:
How to Create a New Data Set in OnBase
1. First, create a new keyword. In our video example, we named it “pasta” and clicked “create.”
2. Next, we needed to specify the keyword settings, which we made alphanumeric. We also changed the length to 40 and made sure to select “use keyword data set” to allow this keyword to be a data set.
3. Then, we clicked “save” and our data set button then became available to click on.
4. Next, we had to add some values in. In our example video, we made a mistake and removed it, updating it with the correct values, which is fortunately extremely easy to do. Lastly, know that you can rearrange these values any way you’d like. When they’re to your liking, you can select “close”. It’ll ask if you want to save it, and you can select “yes.”
