In order to run the License Usage Report in OnBase, you must first enable the Log License Usage setting, allowing the system to log the data over time. That’s all well and good, but what are the long-term effects of leaving the logging enabled?
I recently learned from Hyland that they do not advise leaving Log License Usage enabled long term as it can result in performance issues. This recommendation is not documented, but it makes sense if you think about the fact that it’s logging the usage of the OnBase system every five minutes for each Application Server and workstation in use. If, like Naviant, you have the Naviant Reporting Dashboards bundle which includes a report that looks at that data and have had that flag enabled ever since, that’s a LOT of rows in the database. To give you an example for a sense of scale, I had a development database of under 20gb where the flag had been enabled for 12 years resulting in 20.5 million rows of data.
Although there is unfortunately no built in way to clear those rows out of the database, Naviant has worked with Hyland and obtained approval to run a script on their behalf in our customers’ databases to delete rows based on date range.
