The Salesforce – OnBase Integration’s Top 3 Features: An Overview
In the video demo, we started out looking at an account in Salesforce. Know that the OnBase components can really be inserted anywhere within the Salesforce screens. This blog is going to give you an overview of the integration’s three main features:
- OnBase documents presented in the Salesforce interface
- Importing a document into OnBase directly from Salesforce
- Processing an item through OnBase Workflow
So let’s get started!
The Salesforce – OnBase Integration’s Top 3 Features: An Overview
Feature 1: OnBase Documents Presented in the Salesforce Interface
Let’s start by looking at an account in Salesforce, as we did in the video demo. You’ll see the documents tab here within the account. Now if you’re familiar with OnBase, you’ll know that this is really just a custom query that showcases the different documents related to this account based on a keyword value.
You can assort any of these columns in ascending or descending order or move them around. You can even filter them to “approved documents” and you can pull up any one document and take a look at it. So, this document is stored in OnBase.
On the left side of the screen, you should be able to see the OnBase keyword values and that means that the document is stored in OnBase and surfaced in Salesforce. As a result, Salesforce users never needs to leave their Salesforce interface to view any of these OnBase documents.
To look deeper, you can also view multiple file types can be presented here and scroll through the entire document and view it. It also makes it easy to view the content full screen, search the entire list in cases where it’s lengthy, or skip around to different pages.
Feature 2: Importing a document into OnBase directly from Salesforce
If you want to import a new invoice into OnBase and kick off a payment process, you’ll first need to find your invoice or add in an additional invoice or other files. Once you find your document, you’ll do your document type selection. In our example, we had a non-PO based invoice, and we entered our invoice number and our additional details. You can then upload the invoice from Salesforce into OnBase. And this will take advantage of any keyword features that OnBase provides, like data sets, autofill keyword sets, masking, ensuring that required keywords are entered successfully, and more.
Feature 3: Processing an item through OnBase Workflow
And then lastly is OnBase Workflow. With this, you will have the ability to view Workflow queues. In our example, we saw a particular item in that Workflow queue that relates to our invoice that needed a review. Not only were we able to view the item, but most importantly, we could “decision” and “approve” that particular invoice and move it forward.
And that in a nutshell is the OnBase integration with Salesforce. We saw viewing documents, we then imported a new document into OnBase, and then lastly process some items through OnBase Workflow. Want more info on how this integration works? Check out this blog.
